Overview

Dashboards provides at-a-glance views that organises and presents information in a way that is easy to read, showing a graphical presentation of the current and required statuses across several Lucidity Software applications.

Dashboards are used to track key data points relevant to a business, department or specific process. Through the use of graphs, lists and tables, dashboards simplify complex data sets to provide users with at-a-glance awareness of current performance. Widgets are used to describe the variety of different items that can be added to a dashboard. Widgets display information that enables a user to perform a function or access a set of information and can be edited or filtered to only display certain information.

The dashboard and widgets functionality is available in several modules of Lucidity Software including:

  • Lucidity Incident

  • Lucidity InForm

  • Lucidity Competency

  • Lucidity Risk

Widgets can be shared between modules (excluding Lucidity Intranet) so Lucidity Incident details, for example, can be viewed from Lucidity Competency.


DASHBOARD ACCESS PRIVILEGES

In most system configurations, those with a manager access role are typically given access to Dashboards. Administrators will also have access to Dashboard templates. Permissions for all Lucidity modules are set via Lucidity Access and are generally configured by the administrator. Refer to the Access Roles page within the Lucidity Access user guide for more details.

Retaining System Integrity

Only the Dashboard Template Manager has the permission to manage Dashboard Templates. It is recommended that the number of Dashboard Template Managers per instance of Lucidity Software is kept to a minimum to retain integrity and consistency across the system configuration and to avoid duplication. It is a worthwhile exercise to create a standard set of guidelines that all new master data entered must follow.


NAVIGATION

The first time the Dashboard tab is opened in a module, a Dashboard Wizard appears prompting users to select a dashboard from the available templates. These templates are created by administrators with relevant permissions. Templates can then be utilised by all end-users to create their  own dashboards. Once the dashboard is created, it can be edited to display required results. Making changes to the dashboard, will not change the template the dashboard was copied from.

If there are no templates created, on first log in to the dashboard tab, the user will be prompted to create a new dashboard of their own without the use of a template, permissions permitting. Refer to the 'Create Dashboards' section in this user guide for more details.

The table below lists the widgets available to add to a dashboard. These are the very same widgets an administrator can use to create templates. Refer to the widget descriptions within the system for a detailed explanation.

CREATE DASHBOARDS

Dashboards can be created by either utilising an existing dashboard template created by an administrator or by creating a new one.

Create a Dashboard from a Template

From the relevant Lucidity Software module:

  1. Click the 'Dashboard' tab

  2. The Dashboard Wizard opens displaying a list of available templates.

    1. Templates created by an administrator will be available

    2. If no templates exist, refer to 'Create a New Dashboard' below

  3. Select the required dashboard(s) from the list

  4. Click 'Create selected Dashboards'

  5. Lucidity Software will create the selected dashboards and populate the widgets

More than 1 template can be added and used for different purposes. If a new template needs to be added, it can be done so using the Dashboard Template Wizard. From the Dashboards tab:

  1. Click the dashboard title to the top left of the screen

  3. Follow steps 2-5 above to add the required dashboard templates

Create a New Dashboard

Creating a new dashboard can be done either at the initial dashboard creation stage or any time after. 

From the initial dashboard wizard, select 'No thanks - I will create my own'

 Either option will lead to the create new dashboard screen. From here:

  1. Enter a name and description for the dashboard

  3. Generic and module specific widgets will be available. Click on the grey bar to view options

    1. Generic widgets are available in all Lucidity Software modules that support dashboards

    2. Module specific widgets are based on the module currently being used

    3. A combination of generic and module specific widgets can be added to a single dashboard

    4. Review the descriptions for an explanation of each widget

  4. Select the required widgets for the new dashboard

The first dashboard selected will automatically display first whenever the Dashboard tab is opened. If more than one dashboard template has been created, switch between them using the dashboard selector.

Edit Dashboards

To change the name or description of a dashboard, from the Dashboards tab:

  1. Click the dashboard selector

  2. Click 'List My Dashboards'

  4. Make changes to the name and description of the dashboard as required

  5. Click 'Save'

Delete Dashboards

To delete a dashboard, from the Dashboards tab:

  1. Click the dashboard selector

  2. Click 'List My Dashboards'

  3. Click the actions button at the far right of screen to activate the drop-down menu

Warning

Deletion of Dashboards

The deletion of dashboards cannot be reversed. If a dashboard is deleted in error, it will need to be recreated so always proceed with caution.

Publish Dashboards

An entire dashboard can be published as a PDF document and then used as a reporting tool. From the Dashboards tab:

  1. Click 'Actions' on the far right of the dashboard

  2. Click 'Print'

WIDGET MANAGEMENT

Widgets (the graphs, lists and tables that make up Dashboards) can be added and modified at any time. Dashboard users can (permission dependant):

  • Add new widgets

  • Edit and configure widgets

  • Move widgets

  • Copy widgets

  • Delete widgets

  • Refresh widgets

  • Publish widgets

Adding widgets to an existing dashboard can be done from either:

  1. The dashboard itself by clicking 'Add New Widget' in the top right of screen

Widget Sharing Between Modules

Widgets can be shared between modules (excluding Lucidity Intranet) which means details from any module can be viewed on any dashboard. For example, it may be desirable to have all dashboards in one place for ease of use. In Lucidity InForm, a dashboard for Incident, Competency, Risk AND InForm could be displayed to prevent having to switch between modules.

Edit and Configure Widgets

Once widgets have been added, they can be edited or configured to display specific information. Widgets will generally default to show all information that the user has access to for the specific item. Therefore, configuring widgets to display particular divisions, date ranges, titles or display formats etc can be very useful.

From the widget:

  1. Click the actions button on the top right of the widget to activate the drop-down menu

  2. Click 'Edit'

  3. The edit screen will open. The configuration options available will depend on the widget being edited. 

    1. In this example, the data source has been changed and a specific division has been selected

  5. The updates to the widget will be displayed. Note the changes in this example compared to the original pie chart display in step 2.

Temporarily Change Widget Display

Data in a widget can be temporarily highlighted or modified by hovering over or clicking items in the legend. There are several options:

  1. Hovering over the item in the legend highlights the specific section in the graph

  2. Clicking on an item in the legends hides it from the graph. It will appear greyed out in the legend. This can be done to several items in the legend at once.

  3. Clicking on greyed out item in the legend will return it's display status to normal. Alternatively, the default display will return next time the dashboard page is opened.

Repeated Use of Widgets

The same widget can be added multiple times to a single dashboard with different filters and displays applied. This allows for comparison of the same category for various divisions, risks, capabilities etc.

The example below shows the Distribution of Uncontrolled Risks widget twice - once for the whole organisation and once for the Star Wars Galaxy only to allow for easy comparison.

Move Widgets

Widgets can be moved within a dashboard by simply clicking in the heading bar of the widget and dragging and dropping to the desired location. A dotted line is displayed to indicate where the widget is going to be moved to.

Copy, Delete and Refresh Widgets

Options are provided to allow widgets to be copied, refreshed and deleted for ease of management.  

To copy a widget, select Actions > Copy. The new copy of the widget will be an exact copy of the original including any filters or other settings. It can then be modified with different filter settings to act as a comparison.

To delete a widget, select Actions > Delete. Deleting a widget that was added through a template has no effect on the template.

To refresh a widget, click the refresh Image Modified icon to the left of the actions button for the widget. This refreshes the widget with the most recent data.

Auto Refresh

Widgets refresh automatically approximately every 10 minutes. To see when a widget was last refreshed, hover the mouse over the refresh button on the widget. A popup will indicate when the update occurred.

Most widgets can be published to Excel or downloaded as a JPEG. From the widget:

  1. Click the actions button at the top right of the Widget to activate the drop-down list

  2. Select Excel or Download

DASHBOARD TEMPLATES

Dashboard templates can be used to provide a starting point for users to access a pre-populated dashboard. Once a dashboard template has been selected by a user, they can be modified by the user with no effect on the template. Templates will be accessible by all users with dashboard functionality.

Administrators with appropriate permissions can access the dashboard template menu to create and modify templates from the dashboard selector:

A list of dashboard templates is displayed. All dashboard templates in the entire system will be listed, regardless of which administrator created them originally.

From here, administrators can:

  • Create new templates

  • Edit existing templates

  • Delete templates

Managing templates is the same as managing dashboards, as outlined in the instructions above. The difference being they will be available to all end users.

Changes to Templates

Changes to templates are not applied retrospectively to users already utilising it. The changes will only be applied to any user that selects the template in the future. This ensures changes that users have made to their dashboard after selecting the template are not over-written. If changes need to be made to the template, a system administrator will need to be advised.


FAQs

These FAQs are designed as supplemental documentation to the main User Guide. It aims to provide a better understanding and use of dashboards within Lucidity Software and the applications utilising them such as Lucidity Incident, Lucidity Risk and Lucidity InForm.

Please ensure that you have the correct administrative access to perform the required task. Your system administrator can assist with this.

Can you use the dashboard to drill down and view the associated records? For example, I have a pie chart which displays expired off-line inductions as a need in Competency. If it's possible I'd like to be able to click the pie chart and it detail the associated records.

That functionality is available in selected Lucidity InForm widgets only at the moment, and is in the process of being rolled out across all modules.

Accessing dashboards based on metadata (eg: single organisation) - is that possible?

Dashboard widgets can be filtered by organisational fields, user, date and other information, so yes.

Is there any functionality that changes the colour of the graph if above/ below the target line?

Not at the moment.

Will the cross-module dashboard/ widget availability also allow for dashboard widgets to be displayed on the Intranet Dashboard? It would be terrific for our users to see key widgets on their Intranet landing page.

Yes, that’s phase 2 of our plan and we hope to have this available soon.
