PERMITS
All stages of permits are managed from the Permits page, the default landing page for Lucidity Permit to Work.
From the Permit page of Lucidity Permit to Work, users can:
- Add new permits
- Edit or delete existing permits
- Move permits through the workflow stages
- Report of existing permits
Permit Workflow Stages

Add New Permit (Draft and Submit Stage)
To add a new permit, from the Permits page:
- Click 'Add New'
- Complete all fields (see table 'Definitions of Fields' below)
- saving at any stage will mark the permit with a status of 'Draft'
- Click 'Submit' to change the status to 'Submitted'
The details captured for each permit may vary slightly between each system configuration. Fields marked with * are mandatory.
Definition of Fields
There are a range of filters that can be used to categorise permits. These can assist when filtering or sorting permits and can be edited via the Settings tab.
Description | Enter a description for the required permit It is recommended the description is kept brief for ease of searching and reporting and details are entered in the 'Summary of Work' field. |

Organisation Details | Select organisation details as applicable such as division, location, project etc. Note 'Location of Work' is listed as an open text field. This can be used to detail exactly where within the location the permit is valid. The location may be the Millennium Falcon but the location of work may be "in the kitchen area of the cafeteria on the Millennium Falcon." |
Supervisor* | Enter the supervisor for the permit and their mobile number |
Permit Type | Select the permit type For example: confined spaces, electrical, hot works etc |
Date From | Use the date selector tool or enter the date the permit is valid from (starts) |
Time From | Use the time selector tool or enter the time the permit is valid from (defaults to 12:00 PM) |
Date To | Use the date selector tool or enter the date the permit is valid to (ends) |
Time To | Use the time selector tool or enter the time the permit is valid to (defaults to 12:00 PM) |
Summary of Work | Enter a full summary of work the permit includes |
Are Checklists Attached | Select 'Yes' or 'No' |
Upload a File | Upload any relevant files such as checklists for the permit

Submit | Once the permit has sufficient information entered, click 'Submit' so it can be approved |
*The roles involved can overlap. For example, the permit manager may be the same person as the permit approver.
Permit Isolations
To add a new Isolation, from the relevant permit:
- Click 'Add'
- In the pop-over box that appears, complete all fields (see table 'Definitions of Fields' below)
- The details captured for each Isolation may vary slightly between each system configuration. Fields marked with * are mandatory.

- Click 'Save and New' to add additional isolations or 'Save' to continue

Log of Changes
A log of change is recorded for each isolation and is accessible by clicking 'Edit' on the far right-hand side of the Isolation.
Edit Permit
To edit any details of an existing permit, from the Permits page:
- Locate the specific permit using relevant filters
- Click the permit or 'Edit' to the far right of the permit
- Adjust fields as required
- Click 'Save'
Approve Permit
Before the permit can be approved, it must be validated by the permit approver. It can then be approved or rejected from the permit page:
- Locate the specific permit using relevant filters
- Click the permit or 'Edit' to the far right of the permit
- Review all details of the permit and scroll to the approval section
- Enter any comments
- Click 'Reject' to reject the permit
- In the pop-up window enter comments for the rejection
- Click 'OK' to save and to return to the Permits page
- The Permit status will change to 'Draft' until it is resubmitted
- Click 'Approve' to approve the permit and return to the Permits page
- The permit status will change to 'approved'
Start the Permit
Once approved, the permit can be marked as started. All isolations must be marked as isolated (set to 'Yes') first.
To mark a permit as 'Started,' from the Permit page:
- Locate the specific permit using relevant filters
- Click the permit or 'Edit' to the far right of the permit
- Review all isolations and ensure all are marked as isolated (set to 'Yes')
- Scroll to the start section
- Click 'Start'
- Click 'Save' or the 'Permits' menu to return to the Permit page
- The permit status will change to 'Started'
Finish or Restart the Permit
The permit manager can mark the permit as 'Finished' once work is complete or if work needs to be paused.
To mark a permit as 'Finished,' from the Permit page:
- Locate the specific permit using relevant filters
- Click the permit or 'Edit' to the far right of the permit
- Scroll to the finish section
- Enter any relevant comments
- Click 'Finish'
- Click 'Save' or the 'Permits' menu to return to the permit page
- The permit status will change to 'Finished'
Pause or Restart a Permit
It is possible to pause a permit and restart it at a later date. A permit may need to be paused if a worker is ill for example. In these situations, Isolations will likely need to be reinstated but the permit needs to remain open as the work is incomplete.
To pause and restart a permit:
- Mark the permit as 'Finished' making a comment referencing the need to pause the work
- Reinstate isolations as required
- The permit will remain with a status of 'Finished'
- When the work is ready to restart, isolations must be back in place and end dates, times etc can be edited as required
- Click 'Restart' at the bottom of the page (note the restart button isn't available if any isolation is set to 'No')
- The permit will revert back to a status of 'Started'
- Once the work is complete, set the status back to 'Finished'
- Once isolations are reinstated, the permit can now be closed
Close the Permit
The permit approver or permit manager can mark the permit as 'Closed' once the worksite is clean and Isolations have been reinstated (set to 'No').
To mark a permit as 'Finished,' from the Permit page:
- Locate the specific permit using relevant filters
- Click the permit or 'Edit' to the far right of the permit
- Review all isolations and ensure all are be marked as removed (set to 'No')
- Scroll to the close section
- Enter any relevant comments
- Click 'Restart' if the permit needs to be reopened
- The permit will revert back to a status of 'Started'
- Click 'Close'
Closed Status
Once a permit has been closed it cannot be reopened or edited, only viewed. If more work is required, a new permit will need to be created.
Delete Permit
To delete a permit, from the Permit Page:
- Locate the specific permit using relevant filters
- Click 'Actions' to the far right of the relevant permit
- Click 'Delete'
- In the pop-up that appears, click 'Delete' to completely delete the permit from the system
Deleting Permits
Deleting a permit cannot be undone - always use the delete function with caution. Deleting a permit will also delete all attachments and isolations associated with it.
Reporting from the Permit page
An Excel list report is available from the Permits Page. Reports will reflect filtered search options as displayed on the lower half of the Permits page.
To generate a report, from the Permits page:
- Click 'Show Filters'
Select the relevant filters
- Click 'Filter'
- All results will be displayed at the bottom of the screen
Click 'Excel Export' to generate this report into Excel
Permit Notifications
Email notifications will be sent automatically as part of the Permit Workflow. These notifications will be sent as follows:

It is important to note that scheduled reports via emails can also be utilised to notify users of additional information as required. Refer to the My Emails user guide for more details.
Email Address
In order to receive email notifications all users must have a valid email address in their Lucidity Access system profile.
