Uploading/Managing Files



INTRODUCTION

Many Lucidity Software modules have the ability to upload files, from either a computer or a portable device such as a mobile phone or tablet. The list of possibilities is endless, but some examples are:

  • A statement of attainment in Lucidity Competency

  • A medical certificate in Lucidity RTW

  • A user manual in Lucidity Asset

  • A photograph of a hazard in Lucidity Risk or Lucidity Incident

  • An image of an employee in Lucidity HR

  • Additional instructions in an Action for an end-user

  • An eLearn presentation in Lucidity Induction


UPLOADING FILES IN LUCIDITY MODULES

Refer to the Lucidity App user guide for more details on managing images in the App. 

In most cases, the steps in uploading, editing, downloading and deleting simple files from a computer is the same throughout all Lucidity Software modules. When working with more complex files, such as eLearns in Lucidity Induction, refer to the specific user guide for further instructions.

Uploading Files

File Location

Files cannot be uploaded directly from emails. They must first be saved to a local or shared drive on the computer.

To upload a file, from the relevant module:

  1. Click 'Add Document' or 'Upload File'

     

  2. Locate the file in the computer's local or shared drive and select 'Open'

  3. The file will be displayed within Lucidity Software. Repeat step 2 if more than 1 file is required

  4. Once all files have been sourced, edit the file name and add a description as required

  5. Click 'Upload' for each file. Note the time required to upload depends on the file size

    NOTE: Files MUST be uploaded prior to saving the entire page. Saving the page first will save any details within the page but WILL NOT save the attached files.

  6. Complete the rest of the page as required and click 'Save' or 'Save and New'

 

Editing Files

To edit an uploaded file, from the edit page within the relevant module:

  1. Click 'Edit' on the far right-hand side of the file

     

  2. Edit the title and description of the file as required

  3. Click 'Save' for changes to be applied

Downloading Files

Downloading previously uploaded files can generally be done from either the edit page by clicking the link:

or by clicking the download icon next to the saved item, for example a training record in Lucidity Competency:

Deleting Files

To delete an uploaded file, from the edit page within the relevant module:

  1. Click 'Delete' on the far right-hand side of the file

     

  2. Click 'OK' to confirm the deletion

     

  3. Click 'Save' or 'Save and New' to save the item

Scanning Attachments and Scan Settings

When scanning files in preparation for upload into Lucidity Software, it's important that the file size isn't too large to avoid experiencing delays uploading (or future downloading). The recommended scan settings are:

  1. Scan using the following settings:

    1. Monochrome

    2. Use either 150 dpi or 200 dpi resolution

    3. Scan to PDF where possible

  2. Avoid scanning .tiff

  3. When scanning to .jpg, use a quality setting of 8 or Medium

  4. Keep the files sizes below 500kb where possible
