There are several methods which can be used to create users in the Lucidity System. Each organisation will need to develop internal processed to determine the best option to suit business needs.

In all cases, the following needs to be considered:

  • Which HR fields (if any) are required to be populated?

  • Which Access roles can be assigned via default and which will need to be manually assigned?

  • Will scoping need to be applied?

  • What is the preferred user log in method?

  • Will users have a notification email in the system and can therefore utilise the 'forgotten password' link to set their own password?

User Log in Method

HR Integration

  • Users are created and managed in the system automatically via an overnight feed from the business external HR or payroll system

  • Users automatically created, details updated and terminated

  • Administrators will rarely need to edit the users HR profile

  • User first name, last name and organisational details automatically copied into Lucidity Access

  • Username automatically becomes 'FirstnameLastname'

  • Assign access roles above the standard default roles in Lucidity Access

  • Password can be automatically created

  • Username = FirstnameLastname

  • Password: utilise the 'forgotten password' link to generate password OR provided by admin

OR 

  • DOB and Payroll number via Lucidity Competency

Manual creation via Lucidity HR

  • Administrators create the users profile and add all relevant HR details via Lucidity HR

  • Username automatically becomes 'FirstnameLastname'

  • User first name, last name and organisational details automatically copied into Lucidity Access

  • Assign access roles above the standard default roles in Lucidity Access

  • Create passwords for users with no notification email

  • Username = FirstnameLastname

  • Password: utilise the 'forgotten password' link to generate password OR provided by admin

OR

  • DOB and Payroll number via Lucidity Competency

Manual creation via Lucidity Access

  • Administrators create the users profile and adds all relevant organisational details, scoping and permissions via Lucidity Access

  • Ease of access to assign additional access roles above the standard default

  • Ease of creating username and password

  • Additional HR details need to be added via Lucidity HR, including DOB and payroll number if user log in method is via Lucidity Competency

  • Username = FirstnameLastname

  • Password: utilise the 'forgotten password' link to generate password OR provided by admin

OR

  • DOB and Payroll number via Lucidity Competency

Self-Registration via Lucidity Induction

  • Users create own profile

  • No admin intervention required

  • If profile is converted, all user details are copied into Lucidity HR and completed records copied into Lucidity Competency 

  • User profile must be converted if access to additional modules is required

  • Generate own username and password
