Overview - Master versus Project Risk Registers


Lucidity Risk as based on a Master Risk Register and Project Registers, with a set of templates providing the linkage.

We call this a 'top down' risk management structure.  Each time a new Project Register is required, it is drawn from the current version of each Master Risk, via the appropriate Template.  The use of Templates allows Project Managers to efficiently create an 80% complete register with minimal effort.

Master Risk Register


The Master Risk Register is the sum total of ALL RISKS faced by the organisation.  Categories can be used to classify risks for easier management.

It is suggested that each risk:

  • Has an Uncontrolled Risk Score
  • Either has a Maximum Controlled Risk Score, or no Controlled Risk Score

Once the risk is used within a Project, one of the tasks of the Project Manager is to review each risk and complete the Controlled Risk Score.  Leaving it blank or Max forces the Project Manager to do this step.

Templates


Templates are used to Group Master Risks together, for use within Project Risk Registers. 

Each template will become a heading or risk grouping within the Project Risk Register.  It can be renamed within the Project Risk Register to suit the stages or terminology being used within the project.


Exercise: Create a Template

Open the Master > Templates menu, and create a new Template.

Select Risks from within the Master Risk Register to be included within your template by using the 'Remove from Template' and 'Add to Template' links in line with each risk.

IMPORTANT NOTE: When you open the Risks menu within a Template, the default view is to only show the Risks that are included within the Template. For a new Template there will be no risks displayed. To view the available risks, open the filters and select either "Not Included" or "Both Included or Not Included" using the Include in template filter.

Project Risk Registers


Project Risk Registers are created from within the Risk Register menu.  Each Project Risk Register is created by selecting the appropriate templates, which can be renamed at this stage (without effecting the Template name for the remainder of users).

Once the templates are selected and the Project Risk Register created, all of the Master Risks within each Template will be copied to the Project Risk Register and placed within groups or headings.  

It is then the responsibility of the Project Manager to:

  • Review each risk
  • Enter additional  controls where required, including any actions
  • Review the Uncontrolled Risk Score
  • Enter a Controlled Risk Score
  • Delete (remove) and Risks that are not required.  This does not effect the Template or the Master Risk Register.
  • Enter any new Risks that are required.

Exporting a Project Risk Register


The standard format for exporting a Project Risk Register is via excel.  This allows a degree of freedom to modify formatting depending on the required purpose of the export.  The Excel can be created from the Risks page within a Project Risk Register.

Forwarding Risks


Any Risk that has been added to the Project Risk Register can be forwarded to Administrators for review from within the Project Risk Register, using the 'Send to Administrator' link.  It is then visible within the Master Register > Queued Master Risks menu for review and possible acceptance.

Reporting


There are a series of reports accessible via the Risk Registers > Reports menu. 

Dashboard


A Dashboard is provided that allows data to be viewed as graphs, tables and lists of risks.  Each User who has access to the Dashboard is able to create their own Dashboard(s), using the widgets available.  Widgets can then be edited to filter the data displayed.

Permissions


Permissions are managed via Lucidity Access, in the same manner as other Lucidity modules.
