App Actions and Photos

ACTIONS

This page provides instructions on how to manage actions from the Lucidity App only. For more detailed information on managing actions in general, refer to the Actions user guide.

Available Actions

Regardless of privileges the user may have, only actions that have been assigned to the user will be displayed in the App. Users can access the full Lucidity system via a web browser from any device to view additional functionality associated with actions.

Create a New Action

There are several locations within the App that a new action can be created. The main location is the 'Add Action' quick link from the Dashboard.

To create a new action, from the App Dashboard:

  1. Tap 'Add Action' in the quick links

     

  2. Tap in the actionee field to assign the action to an different user

    1. Note if the logged in user only has permissions to assign actions to themselves, only their name will appear

       

  3. Scroll or search to locate the actionee and select their name(s)

     

  4. Enter a description and a due date

  5. Add any photos to the action as required. Refer to the App Images section below for more details.

  6. Tap 'Save' in the top right hand corner to save the action and return to the Dashboard

    1. Note the saving of the action will trigger a notification to the actionee alerting them to the assigned task

 

Edit an Existing Action

To edit an existing action, from the App Dashboard:

  1. Tap '# open actions'

  2. Scroll or search to locate the required action and tap to open

    1. Note that closed actions can be access via the 'Closed' button at the bottom of the screen and all actions, regardless of status, can be accessed by tapping 'All'

    2. Colour coding is used to highlight the current status of the action

       

       

  3. If the logged in user has the required privileges, the action can be reassigned to another user by tapping 'Reassign' and selecting the new actionees name

     

  4. Comments can also be added to the action from this page, for status updates for example. Tap 'Add Comment'

  5. Tap 'Save' in the top right hand corner to save the action and return to the Dashboard

 


PHOTOS

Photos can be added via the Lucidity App using the camera icon within the app on a number of screens. When a photo is attached, it can either be selected from the gallery within the phone or by taking a photo using the built in camera.

If a document is required to be added via the App, a photo can be taken of the document and then the image uploaded.

Adding a Photo

To add an photo, open the open that the photo should be attached to, such as a form, incident or action.  In this example, a form is used:

  1. Tap the camera icon in the bottom left-hand corner to add a photo at the bottom of the form.

    1. If an 'Add Photo' button is available within the form itself, a photo can be added directly under the proceeding form field

    2. These instructions will work for either option 

       

  2. The image gallery will open, displaying all images that have been uploaded to the item from the device

  3. Tap the camera icon in the top-right of screen

     

  4. In the pop-up menu that appears, tap

    1. 'Choose from library' if the image already exists on the mobile device

       

      1. Tap on the required image. Repeat the process if additional images are required

    2. Tap 'Use camera' if a new image needs to be taken

       

      1. Use the camera to capture the image in the same way the camera is normally used for the device

      2. Tap 'Retry' to retake the image or 'OK' if the image is to be saved. Repeat the process if additional images are required

  5. The image(s) will now display in the Lucidity App Gallery. Tap the image and

    1. Enter a description and click 'Save' in the top right-hand corner or

    2. Click the rubbish bin icon to delete the image

       

  6. . Return to the original item (a form in this example) by tapping the back arrow in the top-left of screen

  7. Complete the form, action or issue as normal

Photo Resizing and Compression

Photos can be added via the Lucidity App either by selecting from the gallery within the phone or by taking a photo using the built in camera. In both cases the following compression and resizing is undertaken before the photo is saved to Lucidity:

  • The photo is resized to a maximum dimension on the long side of 1280 pixels

  • .jpg compression is applied to the image so that the file size approximates 150kB to 300kB

Resizing and compression ensures that the a large number of photos can be attached to a record, and the data can still be transmitted using the 4G mobile network. The Lucidity App will usually apply a limit to how many photos can be attached to a particular form or record, in order to ensure that the record can be PDF’d once saved and the resulting file size is within reasonable limits for emailing.

The resizing and compression applied is relatively moderate, and has been designed to ensure that a page of typed text can be photographed and still read once compressed. Many Lucidity customers use the Lucidity App to photograph documentation such as SWMS and JSA’s as part of pre-starts. It is important that these documents can be read once saved and compressed.

Camera Permissions

When using the App to add images for the first time, a camera permissions message may be displayed. This can affect all versions of the Lucidity App on all Android devices. 

To allow Camera Permissions:

  1. Go to the phone's 'Settings' app (note that the layout of settings may be different dependant on the model being used. Please refer to specific device user guides if required)

  2. Select 'Apps'

  3. Select 'Lucidity App'

  4. Scroll down and select 'Permissions'

  5. If already enabled, first disable them and then re-enable all three permissions in the file (Camera, Location Storage)

  6. Re-open the App and navigate to the InForm Record

  7. Attach photos through the camera function within the App to confirm the new settings have been successful
