Quotations User Guide

The Quotation Module allows users to create a Quotation for a specific job relating to a client. These Quotations can then be printed out or sent to the client as a PDF file via email.

Working with Existing Quotations


After clicking the Manage Quotations button, you can:

  • VIEW an existing Quotation by clicking on its title
  • DELETE a Quotation by selecting an entry using the tick box, and clicking the 'Delete' button
  • PRINT a Quotation by clicking its title to view it, and then clicking the 'Print' button
  • EMAIL a Quotation to the client by clicking its title to view it, and then clicking the 'Email to Client' button

Filtering and Sorting the Manage Quotation view


SORT the list by clicking on any column heading.

FILTER the list by selecting from any drop down menu and clicking the 'Filter' button

Note: Filtering will reflect the results that are printed in the report.

 

Adding a new Quotation


To add a new Quotation:

  • Click on the 'Add New' button from the left side navigation
  • Choose the 'Creation Date' for the Quotation
  • Input into the 'Submitter' field the name of the person submitting the Quotation. The default setting is your user name
  • Select the client the Quotation is for from the 'Client' drop down menu
  • Input into the 'Client Site' field the location of the job, service or task
  • Input into the 'Client Contact' & 'Client Email' the client contact name and email address. The 'Client Email' field are not required if you do not intend to send the Quotation via email
  • Input into 'Service' what job, service or task the quotation is for eg: Steam Cleaning
  • The 'Introductory Note' will automatically be filled with the default message. This message can be edited and changed if necessary
  • Input into 'Description' a description of the job, service or task, excluding GST
  • You can attach an image to help demonstrate why the job, service or task is needed.

 

Note: Only jpegs and png files can be uploaded

  • Click 'Save' to save this Quotation
