Management System User Guide (Legacy)



The Management System module contains documents relating to your company operations and management systems. These include requirements for Quality, Safety and Environment.

Introduction

The ‘Management System’ contains the documents that comprise your company operations and management systems, including requirements for quality assurance, OH&S and environmental management. 

The Management System page is edited by clicking the  in the Login Controls Toolbar at the top of the page.  The Management System page is edited in 2 main sections as below:

  1. Pages
  2. Diagram

Pages Administration

Creating and editing the Pages determines the text and links that appear in each section as you navigate the Management System diagram and menus.

IMPORTANT:  In order for a document to be linked to a page and appear within the management system, it must first be loaded into the Filing Cabinet > Intranet Resources Folder (or any subfolder).  This is the dedicated location in which all of your resources MUST be loaded if they are to be linked to your Management System.  


To CREATE a new Page, enter the Page Tile and Text in the editor window to the bottom.  Click ‘Save’ when you have finished. 
You can apply formatting using the toolbar options within the editor. 


NOTE: Your page will not appear in the diagram until you have linked it to the diagram (refer to 1.3).  It will appear in the menu list to the left of the Management System page immediately.

To EDIT an existing Page, click the ( )  icon corresponding to the Page, and edit the title and content.  Click ‘Save’ when you have finished. 

To DELETE an existing Page item, click the ( ) icon next to the Page.

You can INSERT A LINK into a Page by clicking the ( )  icon and typing the title and address for your link.

To CHANGE THE ORDER of the Pages as they appear in the menu list to the left of the Management System page, click the (   ) icons next to each Page to move it up and down the list.

You can apply formatting to the text on each Page using the icons in the editor to the bottom of the page. 

To create a LINKED SUBHEADING that appears in the menu list to the left of the Management System page, insert the heading into the Page using Style 3 from the Format drop down list as indicated below.

Inserting a Document Link into your Management System

Follow these steps to insert a document into the Management System diagram from the Document Vault:

1 – Open the appropriate page for Editing within the Management System

2 – Place your cursor in the location that you wish to insert the document

3 – Click the ( ) icon from the toolbar in the editor:

4 - From the popup window, select the document that you wish to insert (from the Filing Cabinet > Document Vault) and click OK.

5 - A link with the format similar to this will then be placed into your editing window:

{{file/268/TEST DOC.doc}}

This will appear as a hyperlinked document in your Management System.  When you are finished formatting the page, click Save to close the editing window.

Diagram Administration

Click on the Diagram TAB within the Management System Administration page to access the Diagram Administration area.

To CHANGE THE DIAGRAM that is displayed on the Management System page, click the ‘Select a New Diagram’ bar to the top of the screen.
You will be provided with a predetermined selection of alternative diagrams which can be used to navigate the Management System.  
Click on the diagram you wish to change to, and it will be automatically changed to this diagram.  You can change as often as you want.


NOTE: No information is lost or pages changed when you change the diagram. 


To EDIT THE DIAGRAM, click on the ‘Edit Diagram’ bar.  From this screen you can select which page is linked to which part of the selected diagram. 
Each page can be linked more than once, or not at all.  Parts of the diagram which are not linked to a page will not appear when you view the Management System page. 


NOTE: Each page is always accessible from the menu list to the left of the triangle.


Search Function

Documents can be searched for in the Management System by using the search function.
This will search the management system for the document name and/or any Tags that have been added to the document.
These Tags are added when the document is uploaded Document Vault section in the Filing Cabinet.

To search for a document click in the search section located in the top right corner, type the relevant word or phrase and press enter.

All files containing that word in their file name or added as a Tag will display on the screen.


Hyperlink to Documents in the Management System - using Firefox

Documents within the Management System can be linked from within Word documents via hyperlinks.

To obtain the appropriate address for the hyperlink:

  • 'Right click' on the the document name
  • 'Left click' on Copy Link Location
  • Paste the link location into the Word document (this is the address to hyperlink).

Note: The address should look something like: https://cruse/company_name.integralcs.com/download/output/check/24543e53435/232


Hyperlink to Documents in the Management System - using Internet Explorer

Documents within the Management System can be linked from within Word documents via hyperlinks.

To obtain the appropriate address for the hyperlink:

  • 'Right click' on the the document name
  • 'Left click' on Copy Shortcut
  • Go into the Source Document (where you want to insert the link) and type in the text that you want to be 'click-able', e.g. CS Competency Flyer
  • Highlight 'CS Competency Flyer', right click and select 'Hyperlink' 
  • In the 'Insert Hyperlink' text box, paste the link to the CS Competency Flyer (obtained via 'copy shortcut' earlier) into the Address bar
  • Click 'Ok'

 Note: The address should look something like: https://cruse/company_name.integralcs.com/download/output/check/24543e53435/232
