There are many different reports available from Lucidity Competency. They can be accessed via the relevant menus as outlined within this user guide (Records, Needs, Capabilities menu) or via the Reports page.
Things to Note
Most reports:
Can be filtered using a range of options which vary depending on the type of report being used. Filter options may include project, division, capability, group, role and record status (expired, expiring, current) to name a few
Include the 'Save Current Filter' option, allowing for the reuse of selected filters
Include the My Emails and My Filters tabs, allowing access to saved filters and emailing of the report to selected users
Open in Excel. From here, data can be manipulated as required, merged with data from other reports, saved to PDF etc
Reporting on Large Quantities of Data
When running reports where large amounts of data is returned, it is important to know:
Run time may vary dependent on Internet speed and the quantity of data
Report results may be split across several worksheets within the Excel spreadsheet
Generating Reports
To generate any of the reports from the Reports menu:
Click the required report
Define the report by completing the relevant fields i.e. to filter the result by a project, division, role, capability group or any of the available filters
Click 'Print' to generate the report
Available Reports
The following reports are available from the Report menu:

Training Matrix | Also known as a Training Needs Analysis (TNA), lists all completed training records and required needs in a matrix format ROWS: Users COLUMNS: Capabilities with colour coding to show current, lapsed, expiring and expired records as well as outstanding needs CELL WIDTH Setting: The 'Cell width' setting allows the width of the results columns of the training matrix to be varied. A value of 14 characters is standard, while reducing the value to 10 characters will allow more columns to be visible on the screen and in printouts WIDTH = 14 WIDTH = 10
NOTE: Selecting the 'People with no records' filter and setting it to 'Display' will list all users selected, even if no records or needs exist. This allows for gap analysis reporting and determining if any users have been missed when allocating roles and needs. |
Training Matrix using Competency Levels | A special feature within Lucidity allows for codes to be added to the cells within training matrix report. The codes can be added without colour codes or with colour codes. Without colour codes: With colour codes: Note the use of colour codes for the Competency Level means the colour coding for expiry time frames is lost. Refer to the Settings page within this user guide for more details on the Competency Levels. |
Needs Matrix | Lists all required needs a matrix format ROWS: Users COLUMNS: Capabilities with colour coding to show current needs, letters representing Needs classification (ensure the letter is added as a Needs classification code, via Settings) |
Roles Completion Matrix | Lists roles and completion status for each user in a matrix format 3/4 denotes 3 of the required 4 capabilities within the role have been completed ROWS: Users COLUMNS: Roles with colour coding to show status of the user against that role |
Roles Details Matrix | Lists roles and the capabilities associated with each role in a matrix format An excel format report can also be generated under the roles tab (only the system administrator has this access) ROWS: Roles COLUMNS: Capability with grey cell to show requirements against that role |
Expiry Report | Lists expiring or expired training ROWS: Training records COLUMNS: Information about each record, including expiry date and user details |
Pending Report | Lists pending training ROWS: Training needs COLUMNS: Information about each need including user details |
Detailed User Report | Detailed list of a user's historical training in PDF format FORMAT: PDF |
Training History Report | List of historical training for selected users ROWS: Training records COLUMNS: Information about each record, including expiry date and user details |
Percentage Completion Report | Lists the completion percentage rate of completed records vs scheduled courses The percentage completed formula is completed records / total x 100 Total = completed + scheduled Drilling down further is possible:
ROWS: Users COLUMNS: Quantity of training scheduled, completed and the percent complete |
Capability Utilisation Report | List Capabilities and the number of records against each capability ROWS: Capabilities COLUMNS: Details about the capability, number of records, date of last record |
Exception Report | Lists users who don't have the specified capability(s) The relevant capabilities must be selected in the filter in order for this report to work ROWS: Users COLUMNS: Capability, user details such as org structure |
