FAQs

These FAQs are designed as supplemental documentation to the main user guide. It aims to provide a better understanding and use of Lucidity Competency and its linked applications such as Lucidity HR, Lucidity Access and Lucidity Induction.

Please ensure that you have the correct administrative access to perform the required task. The system administrator can assist with this.

How can I locate the answers for assessment questions within an eLearn training course?

If you are having difficulties with answering the assessments and/ or passing the online courses, please contact your local Training representative or the owner of the eLearn module.

System administrators can view and edit assessment questions that are built within Lucidity Induction by clicking 'Edit' on the relevant module. Refer to the Assessment Questions section of the Assessment page in the Lucidity Induction user guide for more details.

A user had been created in Lucidity HR and has been linked and given the correct permissions in Lucidity Access. Why can't his manager find and view his records?

This is likely to be due to the scoping on the manager's account. The manager is restricted to certain organisations which must correspond to the user's organisation. If they differ, the manager will not be able to view the user. Therefore, changes must be made to ensure these match by either:

  1. Change the user's business unit/ division in Lucidity HR to match the scoping of the manager or

  2. Change the scoping of the manager in Lucidity Access to include the business unit/ division of the user

A user had been added to a role. Why aren't the role and needs displaying on the People page or on the Needs page?

The role is working correctly if other users assigned to this role have no issues and their needs have been created. Therefore the issue lies with the user account and there is likely a duplicate account for them.

To remove duplicate accounts, refer to the Merge People section in the People page in the Lucidity HR user guide


A user has failed an eLearn in Competency. How do I reset the module so they can attempt it again?

A system administrator will need to delete the existing need and reassign it for the user in order for them to reattempted the course if the allowed attempts limit has been reached.

If the user has failed the course in Lucidity Induction, refer to the Reset a Failed Course section in the Records page in the Lucidity Induction user guide for more details.

What is the best way to manage annual refresher training that everyone completes at the same time, regardless of when they completed the initial course?

In this situation, a new capability each year is the most efficient way to manage this. It also means reports can be used to view previous years existing records and outstanding needs. 

  • Create the initial course as a new capability labelled with the year (XYZ – 2019 as example)

  • Create the role(s) that require this capability, include any other additional capabilities and enrol the relevant users

  • As new users commence, enrol them into any required roles. A new need will be created (assuming no current record exists)

  • As users complete the course, enter the record with with no expiry date. This will be automatic if it's an eLearning course. The system will remove the need from the user's profile

  • When the refresher is due:

  •  

    • Create a new capability for the new year (XYZ – 2020 for example. The 2019 version can just be copied)

    • Add the XZY – 2020 capability to all required roles

      • There is an option here to remove the XYZ – 2019 course from the role if required. This will remove all existing needs for XZY – 2019 but will not remove any existing records. Do not remove the need from the role if reporting on previous incompletions is required 

    •  Needs will be added for all users (assuming an current record doesn't exist)

    • As the course is completed, enter the records with no expiry date

    • The system will remove the XYZ – 2020 need for all the completed users

    •  Reports can be run to view records V needs as required 

  • Entering the completions with no expiry date is important otherwise when 2019 record expires, that record will remain listed as expired as the 2020 record is completely separate and isn't linked
