CONTRACTOR ROLES

The standard roles typically provided in all new Lucidity system builds are as follows. These can be edited by system administrators as required.

To further understand the Contractor module, refer to the Lucidity HR user guide for more details.

Approve Documents

Allows the user to modify the 'Document Approval Status' for a document

Archive

Allows user to Archive & Unarchive Contractors. This will automatically archive any Contractor Documents associated with those Contractors. Needs to be used in conjunction with the Can View Contractor privilege or the Can Edit Contractor privilege to function.

Can access the Settings Menu; user can add/edit: categories, state, country and company status.

SETTINGS added as a tab. Allows the user to view, add, edit and delete labels in the Managed Lists, with the exception of Document Type. A separate privilege needs to be assigned to manage the Document Type Managed List.

Can add and edit contractor document type

SETTINGS added as a tab. Allows the user to view, add and edit Document Type Managed List labels.

Can add contractors

Allows user to add contractor companies. Will also allow the user to view a list of employees associated with the company by selecting the EMPLOYEES button that appears next to each record. Needs to use in conjunction with the Can View Contractor privilege or the Can Edit Contractor privilege to function.

Can create/edit contractor classifications

SETTINGS added as a tab. Will allow the user to view; add; and edit Contractor Classifications.

Can delete contractor

Allows user to delete contractor companies. Needs to be used in conjunction with the Can View Contractor privilege or the Can Edit Contractor privilege to function.

SETTINGS added as a tab. Will allow the user to view and delete Contractor Classifications.

Can delete contractor document attachments

Allows user to delete contractor document attachments. Needs to be used in conjunction with the Can Edit Contractor privilege or the Can View Contractor Documents privilege to function.

Can delete contractor document type

Allows user to delete a label from the Document Type Managed List. Need to be used in conjunction with the Can Add & Edit Contractor Document Type privilege or Can View Contractor Document Type privilege to function.

Can delete contractor documents

Allows user to delete Contractor Document Records. Needs to be used in conjunction with the Can View Contractor Documents privilege.

Can edit and download contractor documents

Allows user to edit and download Contractor Document Records. Needs to be used in conjunction with the Can View Contractor Documents privilege. Also allows the Employees selector to be hidden when Can edit contractors privilege is disabled.

Can edit contractors

Allows user to view and edit contractor companies. Will also allow the user to view a list of employees associated with the Contractor by selecting the EMPLOYEES button that appears next to each record.

Can view contractor document type

SETTINGS added as a tab.  Allows the user to view the labels within the Document Type Managed List.

Can view contractor documents

Allows user to view Contractor Documents. User can download documents that have been uploaded to each Document Record. 

Can view contractor employees details, view or download attachments

Allows user to view the Training Records & Needs of employees that have been scoped to the Contractor. The user can download attachments that have been added to the Training Records. An EMPLOYEES button will appear next to each record for the user to select. Needs to be used in conjunction with the Can View Contractor privilege or the Can Edit Contractor privilege to function.

Can view contractors

Allows user to view Contractors. User can download documents that have been uploaded to the Contractor Record.

Column Configuration

Allows the user to configure columns. Restrict access, as any change to columns impacts all users.

Contractor - Company Status Hide

When this privilege is selected the status of the company is not visible on the contractor's company page. This privilege is usually applied to Access Roles that are assigned to Contractors who are onboarding.

Contractor - manager hide

When this privilege is selected the manager of the company is not visible on the contractor's company page. This privilege is usually applied to Access Roles that are assigned to Contractors who are onboarding.

Contractor - Org Structure Hide

When this privilege is selected the allocation of organisation of the company is not visible on the contractor's company page. This privilege is usually applied to Access Roles that are assigned to Contractors who are onboarding.

Make Read only - Contractor Category

When this privilege is selected the user can only view the Contractor Categories that have been assigned to the company. This privilege may be applied to Access Roles that are assigned to Contractors who are onboarding.

Make Read only - Contractor classification

When this privilege is selected the user can only view the Contractor Classifications that have been assigned to the company. This privilege may be applied to Access Roles that are assigned to Contractors who are onboarding.

Make Read only - Contractor Company

When this privilege is selected the user will only be able to view the company name of the contractor. This privilege may be applied to Access Roles that are assigned to Contractors who are onboarding.

Make Read only - Document Type

When this privilege is selected the user will only be able to view the document type of the document. This privilege may be applied to Access Roles that are assigned to Contractors who are onboarding.

Make Read only - Lapsed tick box

When this privilege is selected the user will not be able to select the lapsed button for documents. This privilege may be applied to Access Roles that are assigned to Contractors who are onboarding.

Make Read only - Vendor ID

When this privilege is selected the user will only be able to view the vendor ID of the contractor. This privilege may be applied to Access Roles that are assigned to Contractors who are onboarding.

Report Emailing Administrator

Allows user to select other email addresses for Email Reporting. A user will still be able to create Email Reports without this privilege, but the reports can only be sent to their registered email address.
