Intranet Access Roles and Privileges



INTRANET ROLES

The standard roles typically provided in all new Lucidity system builds are as follows. These can be edited by system administrators as required.

Scoping to Management Systems and Filing Cabinet Folders

Scoping to the Management Systems and / or Filing Cabinet folders can be applied in Access Roles and/or in the individual users' profile, although this is only recommended in unique and rare circumstances. Refer to the the Intranet Scoping section in the Assigning Roles and Defining Scoping page in this user guide for more details.

Actions (All) - Create & Edit

ACTIONS added as a tab. Allows user to view, create and edit all actions from ALL ACTIONS menu and the user's own actions from the MY ACTIONS menu.  

Actions (All) - Delete

Allows user to delete all actions from ALL ACTIONS menu or the user's own actions from the MY ACTIONS menu. Needs to be used in conjunction with one of the other action privileges to function.

Actions (All) - View

ACTIONS added as a tab. Allows user to view only all actions from ALL ACTIONS menu and the user's own actions from the MY ACTIONS menu.

Actions (My) - Create & Edit

ACTIONS added as a tab. Allows user to view, create and edit their own actions from the MY ACTIONS menu.

Actions (My) - Delete

Allows user to delete their own actions from MY ACTIONS menu. Needs to be used in conjunction with one of the other action privileges to function.

Actions  (My) - Raise an action on behalf of other user

Allows a user to raise an action for another user. Needs to be used in conjunction with one of the other action privileges to function.

Actions (My) - View

ACTIONS added as a tab. Allows the user to view their own actions from the MY ACTIONS menu.

Banner / Background image - Upload

Allows the user to update the splash image, banner image and PDF banner images within the Intranet settings.

Cabinet - Permissions

Allows users to add folders and files in the filing cabinet. Along with allowing the users to edit, review, move, copy and delete documents uploaded to the document vault or filing cabinet. Must be used in conjunction with other cabinet privileges.

Allows users to view the filing cabinet.

Dashboard - News - Create

Allows users to create News items within the Dashboards tab.

Dashboard - News - Delete

Allows users to delete News items within the Dashboards tab. 

Dashboard - News - Edit

Allows users to edit the News items within the Dashboards tab. 

Dashboard - View

DASHBOARD added as a tab. Users are able to view the Dashboard page within the Intranet module.

Dashboard - Widget - Edit

Allows users to manage Dashboard widgets and link boxes.

File - Download

Allows users to download documents to the filing cabinet and document vault.

File - Upload

Allows users to upload documents to the filing cabinet and document vault.

Management - Page - Copy

Allows users to copy Management Systems pages within an associated Management System tab. This needs to be used in conjunction with Cabinet permissions and Management System permissions which are located within individual users accounts in Access.

Management - Page - Create

Allows users to create Management Systems pages within an associated Management System tab. This needs to be used in conjunction with Cabinet permissions and Management System permissions which are located within individual users accounts in Access.

Management - Page - Delete

Allows users to delete Management Systems pages within an associated Management System tab. This needs to be used in conjunction with Cabinet Permissions and Management System Permissions which are located within individual users accounts in Access.

Management - Page - Edit

Allows users to edit Management System pages within an associated Management System tab. This needs to be used in conjunction with Cabinet permissions and Management System permissions which are located within individual users accounts in Access.

Management - View

USERS will be able to view the Management Systems page. This needs to be used in conjunction with Cabinet permissions and Management System permissions which are located within individual users accounts in Access.

Management System Settings - Create 

Allows users to create additional Management Systems Settings tab within the Intranet. Must be used in conjunction with other Management System Settings permissions.

Management System Settings - Edit

Allows users to edit the titles of the Management Systems Settings tab and switch the tab on and off. Must be used in conjunction with other Management System Settings permissions.

Management System Settings - View

Allows the users to view the Management Systems Settings tab and view all the created Management Systems.

 


FILING CABINET PERMISSIONS

Filing Cabinet Roles

Users will have the assigned permissions for all the selected folders, including all sub folders.

Add File

Allows user to add a file to the folders they have permissions to.

Allows the user to add a new folder to where the have permissions to.

Copy File

Allows the user to copy a file they have access to, to another part of the folder structure they have access to.

Allows the user to copy a folder they have access to, to another part of the folder structure they have access to.

Delete File

Allows the user to delete a file they have access to.

Will allow the user to open a file they have access to.

Allows the user to upload and overwrite an existing file they have access to.

Edit Folder

Allows the user to change the name of a Folder they have access to.

Move File

Allows the user to change the location of file they have access to. The user will only be able to move the file to another folder they have access to.

Move Folder

Allows the user to change the location of the folder within the folder structure they have access to.

Review File

Allows the user to schedule a review of a file they have access to. All users can be selected as an actionee for this task, so whoever schedules the review needs to ensure the actionee has access to download the document.

Review Folder

Legacy item - does not control any feature

View File

Allows user to view the files under the folder structure they have been given access to. If this is the only permission granted, the user can see the file within the structure, but will be unable to open it. At a minimum View Folder, View File and Download File permissions need to be allocated together, otherwise there is no purpose to providing access.

View Folder

Set up in conjunction with View File and Download File permissions. If this is the only permission granted the user would not be able to see any files in the folder structure they have been given access to and it would serve no purpose.

 


MANAGEMENT SYSTEM PERMISSIONS

Management System Roles

Users can have different level roles assigned for different management system pages. There are no individual permissions to be managed within each role.
